Last updated: 15 September 2026

Quantum Building Maintenance respects your privacy and is committed to handling personal information responsibly, transparently and securely.

This Privacy Policy explains how [insert full legal entity name], trading as Quantum Building Maintenance (“QBM”, “we”, “us” or “our”), collects, uses, stores and discloses personal information. It applies to information collected through our website, enquiry forms, advertising, telephone calls, emails, site visits, quotations and the delivery of building, renovation and maintenance services.

This Privacy Policy is not a building contract and does not form part of any quotation, scope of works or domestic building contract.

1. Our privacy obligations

Where applicable, we handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles. As a Queensland building and maintenance business, we may also collect, retain or disclose information where reasonably required to meet obligations under applicable Queensland building legislation, regulations and regulatory processes, including requirements involving the Queensland Building and Construction Commission (QBCC).

Nothing in this policy changes the rights or obligations contained in a building contract or under Australian Consumer Law, Queensland building legislation or any applicable statutory warranty or insurance scheme.

2. Personal information we may collect

The personal information we collect depends on how you interact with us. It may include your name, address, telephone number and email address; property address and ownership details; website forms, emails, calls or social-media information; details of required work; plans, drawings, photographs, videos, measurements and site-condition information; property access details; quotations, contracts, variations, invoices and payment information; communications, approvals and instructions; and information needed for licensing, insurance, certification, permits, inspections, complaints, defects, warranty requests, disputes or insurance claims.

We may also collect website usage information such as IP address, browser, device, referring page and website interactions, as well as any other information you choose to provide. We generally do not need sensitive information. Please do not provide personal information about another person unless you are authorised to do so.

3. How we collect information

We may collect information directly from you; through our website, forms, calls, emails and social-media accounts; during consultations, quoting, inspections and site visits; through contracts, project documents and payment records; from property owners, tenants, body corporates, property managers and authorised representatives; from project participants; public sources; advertising, analytics and customer relationship management platforms; and government bodies or regulators where authorised or required by law.

4. Why we collect and use personal information

We use information to respond to enquiries; arrange consultations and inspections; prepare quotations; enter into and administer contracts; plan, coordinate, perform and document work; communicate about schedules, access, selections, variations, delays and progress; coordinate project participants; process payments; manage defects, warranty matters, complaints, disputes and insurance claims; meet safety, licensing, insurance and regulatory requirements; improve our services and website; send permitted marketing communications; prevent fraud; protect our legal rights; and comply with lawful requests and Australian laws.

5. QBCC and building-related information

Building work can require information to be recorded, verified or provided to third parties. Depending on the work, this may include licensing requirements, Queensland Home Warranty Scheme requirements, contracts and statutory documents, approvals, permits, inspections, certification, site contacts, plans, specifications, engineering documents, photographs, project value and completion information, and matters involving defects, disputes or insurance.

Information may be provided to the QBCC, insurers, private certifiers, local councils, engineers, building consultants, legal advisers and other relevant authorities or participants where reasonably necessary or required by law.

6. Photographs and recordings

We may take photographs or videos during inspections and building work to document site conditions, prepare quotations and scopes, record project progress, support safety and compliance, and document defects, variations, completed work or warranty matters. We will not intentionally use identifiable photographs of you, your family, your private belongings or your property for promotional purposes without permission.

7. Disclosure of personal information

We may disclose information to employees and authorised representatives; builders, subcontractors, tradespeople, consultants and suppliers; engineers, designers, surveyors, certifiers and inspectors; property managers and body corporates; the QBCC, councils and regulators; insurers; banks, payment processors, accountants and bookkeepers; hosting, cloud storage, email, analytics, advertising, CRM, IT and cybersecurity providers; professional advisers; and courts, tribunals or law-enforcement bodies where required by law. We do not sell personal information.

8. Website analytics, cookies and advertising

Our website may use cookies and similar technologies to understand visitor behaviour, improve performance, measure enquiries and deliver relevant advertising. Services may include Google Analytics, Google Ads, Meta advertising tools and our CRM. You may restrict cookies through your browser settings, although disabling them may affect some website functions.

9. Direct marketing

If permitted by law, we may use your contact details to send information about our services, project updates or relevant offers. You can unsubscribe using the link in an email, by replying “STOP” to an eligible SMS, or by contacting us. Service-related messages about an active enquiry, quotation, project, invoice, warranty matter or legal obligation are not marketing communications.

10. Storage and security

We may store information in electronic systems, cloud platforms, email accounts, project-management systems and physical records. We take reasonable steps to protect it against misuse, interference, loss, unauthorised access, modification and disclosure through measures including access controls, password protection, multi-factor authentication, secure cloud services and restricted access to records.

11. Overseas service providers and retention

Some technology, cloud, analytics, CRM, communications or data-storage providers may store or process information outside Australia. Where the Australian Privacy Principles apply, we will take reasonable steps required by law before overseas disclosure. We retain information only as long as reasonably necessary for its purpose or to meet legal, taxation, insurance, contractual, warranty, dispute-management and building-industry record-keeping obligations.

12. Access, correction and privacy complaints

You may request access to information we hold about you or ask us to correct information that is inaccurate, incomplete or out of date. We may need to verify your identity before processing a request. If you have a question or complaint about our handling of your information, please contact us with enough detail for us to investigate. We will acknowledge your complaint and aim to respond within a reasonable period.

If you are not satisfied with our response and the Privacy Act applies, you may contact the Office of the Australian Information Commissioner at www.oaic.gov.au. Privacy concerns about information held directly by the QBCC should be raised with the QBCC through its published processes.

13. Third-party websites and changes to this policy

Our website may contain links to third-party websites. We are not responsible for their privacy practices, security or content. We may update this policy when our business practices, technology or legal obligations change. The current version will be published on our website with the date of the latest update.
